The problem
Most small service businesses lose money two ways: missing calls, and failing to invoice. Missed calls you can feel. Bad invoicing is a slow bleed — you finish a job, mean to write up an invoice that night, then forget. Three weeks later you remember. The customer has long since moved on.
How it works
Customer books the job
AI takes the call, books the appointment, logs the service and quoted price.
You complete the work
Mark the job complete in the dashboard. Optionally adjust the final amount (material costs, additional work).
AI sends the invoice
A Stripe invoice goes out via SMS and email. Card payment, one click. No account signup required for the customer.
AI follows up if unpaid
If the invoice sits unpaid for 3 days, the AI sends a friendly reminder. After 7 days, a firmer one. You never have to do the awkward "hey, have you paid that invoice?" text.
Money lands in your Stripe account
Minus standard Stripe fees (2.9% + 30¢). Payout direct to your bank on Stripe's schedule.
What makes this different
You could use Stripe alone. You could use QuickBooks. You could use Square. All of them make YOU do the work of creating the invoice, sending it, and chasing the unpaid balance. RunDesk AI does each of those steps automatically, because it already knows what was booked, what service was done, and how to talk to the customer.
RunDesk AI
Invoice drafted automatically from the call. Sent via SMS + email. Card payment in one click. Follow-up reminders automatic.
Rosie / Smith.ai / Ruby
No invoicing. They answer the call and stop. You still have to open a separate tool to send the bill.
What you need
- A Stripe account (free to create, takes 5 minutes)
- The Business plan ($299/mo)
- That's it. No accounting software required.
Real-world impact
For a plumber doing 3–5 jobs a day, automated invoicing typically means:
- Invoices go out same day instead of "this weekend when I catch up"
- Days-to-payment drop from ~14 to ~3 (customers pay faster when the invoice arrives while the work is fresh in their mind)
- ~8% of invoices that would've slipped through the cracks (forgotten, misplaced, miscounted) actually get collected
FAQ
Do I need QuickBooks or another accounting tool?
No. RunDesk AI's invoicing works standalone via Stripe. If you do use QuickBooks, we can sync invoice data via a Google Sheets bridge on the Business plan.
How does the customer pay?
They get a text with a Stripe payment link. They enter card info and pay. No account creation required for them. Payment takes 30 seconds.
What are the fees?
Standard Stripe processing fees (2.9% + 30¢ per transaction). RunDesk AI doesn't add any markup on top of that.
Can I offer other payment methods?
Stripe supports Apple Pay, Google Pay, and ACH (for larger invoices). All of those route through the same payment link.
What if a customer disputes an invoice?
You handle the dispute directly. The AI won't push back on the customer — if they complain, the AI takes a message and alerts you to handle it personally.
